Administrators and Assistants


Every room requires an administrator and an assistant (minimum 1 assistant proctor per 25 candidates).


The assistant may have a large or small role. The Test Administrator must ensure that the assistant(s) can perform the required role - and must clearly brief them on their role for the session.


    Test Administrator:      The administrator for the test session (registered)

    Room Administrator:    Working for the Test Administrator if there are extra rooms,
                                      one for each extra room

    Assistant proctors:       Extra proctors assisting an administrator (familiar with TOEIC)


Note that there are always 2 staff members in each room, at least one of whom is registered.


Assistants do not need to be registered for TOEIC

Test and Room Administrators must be registered with Pro-Match. They will have been trained or mentored in TOEIC administration procedures (note changes to registration last made in November 2015).


Assistant proctors must have read the TOEIC Administration Procedures at minimum, and the Administrator must deem their assistant capable of the role assigned to them.


Assistant names must be recorded (and administrators and auditors)

We need all names, including assistants, for our records. Similarly an auditor’s name must always be recorded. This detail helps if there’s ever a problem reported, and is also why we ask for even the smallest irregularities to be documented.


Note also that assistant proctors are learning about the TOEIC Test and earn recognition towards registration when they help in a whole session.


Small test sessions may use an “on-call” assistant

Having an assistant allows one person to monitor the room while another attends to an issue. This may be necessary even with a single candidate - for example the administrator might need to leave the room to get someone to stop making noise.


An “on-call” or “standby” assistant should briefly help to seat candidates (as a minimum), so that candidates have seen the assistant in their role at least once. They can then come to the room only if required.


The administrator MUST have a quick signalling system in this case.
